This is a product design qn:
Step 1 : Clarify
a) Whats tasks are targeted to be tracked by this product?
b) What qualifies as completion e.g. sending an email using, attending a meeting using Google calender etc.
c) Is this product designed for a specific platform
d) Is this product designed for a specific set of users e.g. office users?
Step 2: Select user group
G Suite product consumers (both personal and official)
G Suite product moderators e.g. Gmail admin, Calender admin, Doc admin(mostly for corporate users)
G Suite data analytics consumers e.g. users tracking product usage for adding additional features, blocking features etc.
Target user group - G Suite product Corporate consumers
Step 3: Identify pain points
a) I need to know how many emails are yet be answered?
b) I need to know what meetings are scheduled today?
c) I need to know what tasks are assigned to me by my colleagues
d) I need to know what forms are yet to be submitted
e) Need reminders to complete pending documents that are in edit mode
f) Need a directory of contacts and ability to set up hangouts and chats
g) Reminders about upcoming travel schedule, ticket status etc.
Step 4: Prioritize pain points
High Impact and frequency
a) I need to know how many emails are yet be answered?
b) I need to know what meetings are scheduled today?
c) I need to know what tasks are assigned to me by my colleagues
f) Need a directory of contacts and ability to set up hangouts and chats
Medium Impact and Medium/Low frequency --
d) I need to know what forms are yet to be submitted
e) Need reminders to complete pending documents that are in edit mode
Even if these features are available, the tagging of documents as yet to be complete will have to be done by the user
Low impact:
g) Reminders about upcoming travel schedule, ticket status etc. --> There are travel portals that can do this
Step 4: Solution
1) Dashboard that shows 1) how are emails are new 2) emails from my priority user group
2) Link to the emails from point above
3) Dashboard shows list of meetings and ease of changing RSVP as well
4) Link to Google meet or zoom meetings from point above
5) Color coded list of tasks assigned to me based on prioritization of user group and days pending since arrival
6) Searchable directory with list of contacts, click, select them and set up a meeting
7) AI based solution to create a P1, P2,P3 prioritization based customizable tab views
8) Alerts to be sent on phone as SMS messages
Step 5: Prioritization of solution
a) Priority 1: High Impact, Medium to Low implementation cost

b) Priority 2: Medium Impact, High to Medium implementation cost
3) Ease of changing RSVP for meetings --> This can be done by opening the meeting
6) Searchable directory with list of contacts, click, select them and set up a meeting --> This can be done while setting up a meeting from Google calendar hence a medium impact functionality
c) Priority 3: Medium/high Impact, High implementation cost
7) AI based solution to create a P1, P2,P3 prioritization based customizable tab views
8) Alerts to be sent on phone as SMS messages
Step 6: Metrics to measure success:
Engagement metrics
1) Number of emails opened and responded on given day
2) Avg emails opened/responded by a user
3) Number of users attended a meeting as a % of number of people invited to the meeting
4) tasks completed as a % of tasks open
5) M-o-M increase in new meeting set up using Google hangout or meet
6) # of DAU on dashboard page
7) Clicks from the dashboard page to various locations e.g. email, calender etc.
